Situation

A local accounting firm was using different versions of accounting software that caused issues across the company. In addition, critical information was being stored on local computers without proper backups or disaster recovery plans. Due to Covid, accountants were looking to work from home but were not setup to do so as there was no way for them to securely access the files and information they needed.

The Southampton team met with the stakeholders in the firm to fully understand the situation and listen to what they needed. 

 

Our custom solution included: 

  • Setting up a new terminal server hosted on premise. 

  • Installing centralized accounting software on a main server so everyone is running the same software version.

  • Created a system to allow all users to work from the terminal server, enabling staff to save files in the same location for trusted and regular backups.

  • Implemented a disaster recovery solution that is tested regularly.

  • Implemented secure firewall & VPN remote access to allow work from home .

Results

Now the team can work seamlessly from home and be just as efficient and productive as if they were in the office. Partners have the comfort in knowing all files are secure on site and backed up regularly offsite. All files are protected and accessible in the unlikely event of a data disaster situation. While Covid was not a welcome issue, it did allow them to finally setup their office for remote work / work from home situations. This approach has made the overall office operations much more flexible and efficient.
